Privacy notice
This explains what personal information Bay Links Maintenance+ collects when you get in touch, why we need it, how long we keep it and the rights you have. We keep it simple: we only use your details to deal with your enquiry and any work we do for you.
Who we are. Bay Links Maintenance+ is run by Alex Rutter and is based in Lancaster. We are responsible for the personal information described here.

What we collect
When you send an enquiry through the website, email, phone or message us on WhatsApp, we collect what you choose to give us. This is usually:
- your name, email address and phone number
- the address or postcode of the property or site
- for businesses, your company name, number of sites and the type of arrangement you are after
- details of the work you would like done, and any photos you send of the area
If we go on to do work for you, we also keep a record of the quote, the work agreed, invoices and payments.
We don't collect any sensitive information about you, and we don't ask for card or bank details through the website.
How we use it
- to reply to your enquiry, arrange a site visit and give you a quote
- to carry out and manage the work you ask us to do
- to send invoices and keep the records we need for tax and accounts
- to deal with any questions or problems after the work is finished
We will not send you marketing messages unless you ask us to, and we never sell or share your details for anyone else's marketing.
Our legal reasons
We use your information because you have asked us to contact you about work, and we need it to give you a quote and carry out that work (taking steps at your request before a contract, and performing the contract). We keep records of completed work because the law requires us to for tax and accounting purposes, and because it is in our legitimate interests to keep a record of work we have done in case you need us again or there is a query later.
Photos of our work
Photos you send with an enquiry are only used to understand the job. We may take before and after photos of work we carry out and show them on our website and social media. We won't show anything that identifies you, your house number or your vehicle registration, and if you would rather your job wasn't shown, just tell us and we will leave it out or take it down.
Who can see it
Your details are seen by Alex and, if needed, anyone working with him on your job. We use a small number of trusted services to run the business, and they only handle your information to provide that service to us:
- Cloudflare hosts this website and handles the enquiry form
- Resend delivers website enquiries to our inbox (processed in Ireland)
- Zoho Mail provides our business email (European data centre)
- WhatsApp (Meta), only if you choose to message us that way
Some of these companies are based outside the UK. Where your information leaves the UK, they protect it with safeguards approved under UK data protection law. We will also share information if the law requires us to, for example with HMRC.
How long we keep it
- Enquiries that don't go ahead: deleted within 12 months.
- Customers: records of work, quotes and invoices are kept for 6 years after the job, as required for tax and accounts, then deleted.
- Photos you send: deleted once they are no longer needed for the job.
Cookies
This website doesn't use advertising or tracking cookies. Videos on the site only load from YouTube if you press play, and the text styles are loaded from Google Fonts, which means your browser connects to Google to fetch them. The only cookie we set is a login cookie for the website's admin page, used by the owner.
Your rights
You can ask us at any time to:
- give you a copy of the information we hold about you
- correct anything that is wrong
- delete your information, unless we have to keep it by law
- stop or limit how we use it, or object to us using it
- pass your information to you or another organisation in a usable format

Complaints
If you are unhappy with how we have handled your information, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk/make-a-complaint or on 0303 123 1113.
